Privacy Policy

This Privacy Policy explains what information VertexIQ Solutions ("VertexIQ", "we", "us") collects through VertexIQ Billing - the web app, the VertexIQ Billing mobile app, and their APIs (together, the "Service") - and how we use it. By using the Service you agree to this policy.

1. Information We Collect

We collect the following categories of information:

  • Account information: name, email, phone number, and business details you provide at signup, plus a securely hashed password (or, if you use "Sign in with Google", your Google account email).
  • Business data you enter: customers, products, quotations, invoices, payments, expenses (including any receipt photos you upload), and related records you create while using the Service.
  • Payment information: license/subscription payments are processed by Razorpay; we receive confirmation that a payment succeeded, but we never see or store your card, UPI, or bank credentials ourselves.
  • Device information (mobile app only): a push-notification token (via Firebase Cloud Messaging) so we can send you invoice/reminder notifications, and basic device/platform info needed to do so.
  • Usage and log data: standard server logs (IP address, timestamps, requests made) used for security and troubleshooting.
2. How We Use Information

We use the information above only to:

  • Operate the Service for you - store and display your business data, generate invoice/quotation PDFs, and calculate your reports;
  • Send emails and push notifications you'd expect (invoice delivery, payment confirmations, overdue-payment and trial-ending reminders);
  • Authenticate you, prevent fraud/abuse, and enforce account/subscription limits;
  • Respond to support requests you send us.

Each registered business ("Company") is a separate, isolated account - your data is never visible to other Companies using the Service, and we don't sell your data or use it for advertising.

3. Third Parties We Share Data With

We share only what's needed to run the Service, with:

  • Razorpay - to process license/subscription payments;
  • Google - to verify "Sign in with Google" logins;
  • Firebase (Google) - to deliver push notifications on the mobile app;
  • Our email delivery and cloud hosting providers - to send transactional emails and host the Service.

We don't share your business data with any other third party.

4. Data Retention & Deletion

We keep your account and business data for as long as your account is active. If you'd like your account and data deleted, email us at info@vertexiqsolutions.com and we'll do so, except where we're required to retain certain records (e.g. invoicing/tax records) for a longer period under applicable law.

5. Security

Passwords are stored hashed, not in plain text. Data in transit to the Service is encrypted (HTTPS). Access to a Company's data is restricted to that Company's own logged-in users and staff accounts its admin creates.

6. Your Choices

You can review or correct your account details at any time from within the Service. You can revoke the mobile app's push-notification permission from your device settings, and revoke "Sign in with Google" access from your Google account settings, at any time.

7. Children's Privacy

The Service is a business tool not directed at children, and we don't knowingly collect information from anyone under 18.

8. Changes to This Policy

We may update this Privacy Policy from time to time; the "Last updated" date above will change accordingly. For material changes, we'll make reasonable efforts to notify active accounts by email.
